Dissapearing Forwarders

My email forwards to (bigpond.com/optusnet.com.au/hotmail.com/google.com/yahoo.com/iprimus.com.au) keep disappearing!

In a shared hosting environment, we occasionally run across mail server issues where one domain is no longer accepting emails from the server, citing the server as a spam source. While this could still be true, in the case of sites on the server becoming exploited for spamming purposes, we are finding out that the majority of the issues are being caused by email forwards to these domains! This is because the domain which is refusing mail, most likely is scanning all incoming email for spam content, and then blocking any IPs which have a high spam to ham (legit mail) ratio, indicating a spammer. This is usually a good method for mail filtering, however, if the server is primarily forwarding a particular domain's spam to a remote host, they will incorrectly identify the server as a spammer, since the server is the last IP to handle the message, before delivering it to the remote domain.

Because of this, if we notice that the forwards are primarily causing the issue, we may be forced to remove forwards to that domain on an hourly basis to ensure that mail delivery for the entire domain does not get impacted. This is only done to ensure the majority of the server is able to send mail to that domain. We understand that this may be an inconvenience to some of the users, but the majority of the users would rather want to be able to communicate with users on other networks, rather then receive spotty mail delivery in favor of only having to check one inbox for all mail. We would recommend that you instead set your email client to POP your mail from your hosting account, as well as check your normal ISP's mail.

How to setup Outlook to read your email.

Here Paul Jenkins from Australian Internet Solutions answers the most frequently asked question with website email.

In this example, we'll be using Microsoft Outlook, but the settings will be similar whichever email software you use. (We use and recommend Thunderbird2 from Mozilla)

1. Open MS Outlook and click Tools/E-mail accounts. Click Add a new e-mail account and click Next>

3. Now we are at the TRICKY page ! Look at the screenshot below. In this example our website is called www.sagan.com and our email address is setup as This e-mail address is being protected from spam bots, you need JavaScript enabled to view it . Carefully check your settings against these example ones>

Notes. Your Incoming mail server (POP3) is mail.yourdomain.com, NOT This e-mail address is being protected from spam bots, you need JavaScript enabled to view it

Your Outgoing mail server (SMTP) refers to your internet service provider (ISP) and so for example, in Australia it might be mail.optusnet.com.au
If you don't know this setting, try googling for it or ask your ISP.

Your User Name is your entire email address, not just your name.

4. Finally click the More Settings... button and on the Advanced tab, ensure that Leave a copy of message on the server is NOT ticked.

5. You are now ready to click Test Account Settings... you should get all ticks and then receive the test email.

POP3 Email Account Settings

Email Account Settings Information

Information regarding general usage and setup of your POP email.

POP3: mail.yourdomainname.xxx
SMTP: your Internet Service Provider (ISP) SMTP mail setting
(replace yourdomainname with your actual domain name and replace .xxx with your extension i.e. com, .com.au etc)

Note: Make sure you disable SMTP Authentication when using your ISP SMTP Settings.

Username: This e-mail address is being protected from spam bots, you need JavaScript enabled to view it
Password: (password you chose when you set up your e-mail accounts in cPanel)

Telstra Bigpond : mail.bigpond.com
iPrimus / Primus Telecom : smtp.iprimus.com.au
Optus / OptusNet : mail.optusnet.com.au
iiNet : mail.m.iinet.net.au **

If your ISP is not listed, please refer to their support site, or call them to find out the outgoing server.

Setting up email accounts in Cpanel

Cpanel Control Panel E-mail Setup Tutorial

This tutorial shows you how to set up an e-mail account in your web site hosting account Cpanel control panel.

After you have set up e-mail accounts in Cpanel you will be able to send and receive e-mails from your domain using webmail or using an e-mail program on your computer such as Outlook, Outlook Express, Thunderbird etc.

Setting up e-mail accounts in Cpanel.

Step 1) To set up e-mail accounts in Cpanel you need to log in to Cpanel. To login to Cpanel type www.yourdomain.com/cpanel in the address box of your internet browser. Replace yourdomain.com with your actual domain name.

Type in Your Username and Password ( which can be found in the Welcome Letter you received when you joined our web site hosting service ).


Step 2) Click the Email Accounts icon

Step 3) Choose an e-mail account name and enter it in to the E-mail: box.

Then choose a suitable password. Choose a password that is easy to remember but would be hard for anyone to guess. Best passwords are those which contain a combination of numbers and letters lower & uppercase.

Type your chosen password in to the Password: Box. The default Quota per mail box is 250 Mb. If you want to lower or increase your quota type in the quota amount in the Quota (optional): Box or leave it blank for unlimited* quota. (*unlimited up to your hosting account's general disk space allowance)

Note: If your e-mail account becomes full all mail sent to you after your e-mail account becomes full will be lost and will not be able to be retrieved. Please be sure to always allow yourself enough Quota to receive mail and remember to check your e-mail account for mail regularly. We recommend leaving the Quota: box blank so that you don't miss any potentially important mail.


Congratulations. You have set up an e-mail account in Cpanel.

Webmail Login Details

Checking E-mail via Webmail

Each account comes with several e-mail web clients. Which means you can access your email using a web browser from ANYWHERE, even when you are away from your own computer.

Simply point your web browser to http://www.yourdomain.xxx/webmail/.
(replace yourdomain with your actual domain name, replace .xxx with your extension i.e. .com, .com.au etc)

Remember that your username is This e-mail address is being protected from spam bots, you need JavaScript enabled to view it and password.

Why can't I receive email?

When someone sends an email to your address with no bounce-backs (email sent back stating error of why it couldn't be delivered) and does not make it to your inbox, there may be a simple fix that you can do to correct this. Most issues involving email are due to little or no space left on your e-mail account quota or your overall Disk space available.

The best thing to do is check how much space you have left on your e-mail account quota and how much disk space you have available in your hosting account. You can check your how much disk space you have available by logging in to your hosting Cpanel. The amount of disk space available can be found on the main page of your Cpanel home page under the the heading General account information. To check your e-mail account quota click the Mail icon from the main Cpanel home page, then click the Add/Remove/Manage Accounts link and for each e-mail account click Show Disk Space Used. If any of your e-mail accounts quota are full you can reset the amount of quota for each account. You can set them to unlimited if you want to.

If you have more than enough space available and still can't receive any emails, you will need to consult with our sales or support team. Typically this is something easily fixed.

Please understand, email DOES use space from your quota. When you are having this issue, any email addressed to you will never be received, and will be lost. Your quota is of the entire account, not just website hosted materials.
